Letter to successor

Hey new SysAdmin!

There’s lots of things to do, so let me tell you the things you should be doing in your first week. From there, you kind of have to feel out the job and prioritize your time as best you can.

Make sure to check Slack, and emails so you get the most up-to-date information along with any tech requests.

Finally, you can always ping me for advice, and sometimes going and chatting with your SAO Advisor will help with sorting out any crazy thoughts you may have.
In your first week, you’ll want to do the following:

  1. Check and make sure everyone can log into the ASUW domain on their work computers!  Going and talking to people will help you get names to faces, let people know who you are and what you can do, and let you discover any other issues you may need to follow up on. (Caution: This might take longer than expected)
  2. Fix any computers that are having issues – probably a lot of them.
  3. Make sure all the servers are up to date (AD Server, asuw.org)
  4. Start working on some of the other tasks and projects listed below.

Logins/Passwords

No passwords should ever be saved on this page.  Get them in a separate document from the previous SysAdmin.

Weekly To Do’s

  • Web Server
    • Check Linode for incidents
    • Log into the server and check for issues
    • sudo apt-get update
  • Active Directory
    • Check for updates
    • Update any personnel name changes
    • Check Printer logs for stuck jobs

Quarterly Goals

  • Fall
    • Make sure everyone in ASUW can log in and use their computers
    • Perform any system updates or reconfigurations on all computers
    • Update AD with new personnel records
    • Inventory current systems
  • Winter
    • Update website keys
    • Install new systems
  • Spring
    • Continue to install systems
    • Organize and recycle old technology
    • Inventory systems
    • Work with Personnel to hire the next year’s SysAdmin if you don’t stay on
    • Prepare transition documentation for new SysAdmin

5-Year Tech Plan

There is currently a budget of $6000 every year that goes towards replacing any computer systems in the office that are more than 5-years old.  Part of your job is developing a plan to replace systems each year, ordering the systems with the SAO Office Manager, and installing the systems when they come in.  Try to develop a plan that goes out 2-3 years, and update it at the end of the year if needed.

NOTE: The above information may or may not apply depending on current proposals for revamping ASUW technology.

Setting up a new Windows Machine

Part one: initial setup

Option one:
1-Insert killdisk USB
2-Select boot from USB in BIOS
A-Select partition
Ab-Press F10 twice
B-Repeat for each partition on hard drive

Option two:
1-Select boot from CD/DVD drive in BIOS.
2-Select install now for the Windows OS
A-Click custom install
B-Accept terms
3-Re-partition hard drives
A-Click on advanced options and delete every single partition you see
B-Then click new partition and make it the max size
4-Wait for Windows to install all files needed
5-Input your name as the username
A-Type in the password
B-Type in the password hint

6-Before you can begin part two you need to do the following:
A-As Windows is now fully installed, you can remove the CD
B-Input the USB stick containing the proper Ethernet/wireless drivers for the specific computer you are using
C-Make sure your ethernet cable is plugged in for all following steps

Part two: basic settings setup
1-Open up control panel
A-Switch to view all icons in either small or large size
2-Select Device Manager
A-Select Ethernet controller
B-Select upload files
C-Select the correct files from your inputted USB stick
3-Once these are installed wait for a screen to pop up and ask if this is for a home or work network. Click on work network.

4-Go back to control panel
A-Select Network Share Center
B- Click LAN (local area connection)
C-Select properties
D-Click on Protocol 4
E-Select use following DNS address
Ea-Input preferred 128.95.18.21
Eb-Input alternate 128.95.112.1

5-Be sure to fully exit out of all windows that you have open or the following steps will not work!

6-Click on the Windows button in the lower left corner and type cmd in the search bar
7-Open up command
A-Type ipconfig /release
B-Type ipconfig /renew

Note that there is a space between ipconfig and the forward slash

8-Go back to control panel
9-Select System
A-Select change settings located on the far right side
B-Select change domain
Ba-Type in asuw.local and hit enter
C-Type in asuwtech when promoted
D-Type the password and hit enter

In order to start part three you must restart your computer

Part three: finalize ASUW settings and programs
1-Once computer restarts select other user
A-Log in as asuwtech with the asuwtech credentials
Ab-Username asuwtech
Ab-Type in the password
2-Select file explorer
A-Type in \\asuwfiles\software
B-Install adobe reader, google chrome, Microsoft office 2013 and Sophos antivirus

3-Open up windows update
A-Click run
B-Download updates

Part four:  update inventories
1-Update inventory file with service tags
2-Update Dell.com account with service tags

Non-Standard Setups

Rainy Dawg:

  • RD have a tech person of their own.  They should be set up as an Admin on the Rainy Dawg computers so that they can do the stuff they need to do, but make sure they keep the computers on the ASUW domain.
  • RD has two computers in the Broadcast Room which requires special software.  The tech should be able to set those up.

OComm:

  • Set up the Webmasters with any software they need.
  • The Designers should have a license for the full Adobe suite for one of the macs.

Bike Shop & Bean Basket:

  • They need the software to run Quickbooks running for their shop.
  • They have a specialized label printer used for printing receipts.

Future Projects

These are all important projects that should probably be done sometime:

  1.  Update ASUW-DC so that it has group policy set up to auto-install all the required applications.
    1. All the applications in \\ASUWFILES\Software have .msi installers which you can hook up through group policy.
  2. Set up ASUW-DC with full Print Server services.  (It’s not working well).
  3. Update ASUW-DC so that it syncs up AD credentials with UW’s NetID credentials.  (not sure if possible)
