Letter to successor

Welcome to the office of communications!

Congratulations!

You’ll have the opportunity to collaborate with a motivated and creative group this year working with the Office of Communications. As OCOMM is the only entity in ASUW that serves only other entities, you’ll find yourself working on a huge variety of projects with many different people in ASUW. While I didn’t get to collaborate with every entity this year, my favorite part of the job was being able to help out so many different organizations to realize creative visions. There are challenges associated with the position, but the chill, team oriented atmosphere of the office makes spending time working really enjoyable.

Get to know your resources. You are given camera equipment, lighting equipment, and more to use in this position and you’ll need most of it regularly. You also have the diverse skills of the rest of OCOMM there to help you. Working with graphic designers on animations, webmasters on formatting content for web, and with tech to keep systems running will make your life easier. Set-up this equipment to be efficient for you, and the office as a productive space and you’ll streamline your processes in the busy weeks.

Go to as many events as possible. Take advantage of the free admission.

OCOMM has the tendency to feel like a second home at times. Use the office as a home base between classes, as a quiet space to work, or just as a place to eat lunch. Spending time in the office, even when you’re not working will help you build relationships with the rest of the ASUW employees and you’ll be glad you did.

But as with every work environment, there are definitely challenges that arise. Learn to say “no” to people, and learn to ask for help. You are a one-person show. If you need equipment, ask for it. If you can’t meet a deadline, tell them. If you are overbooked, have worked extra hours, communicate your deadlines.

Most of all, enjoy your time.

Note: I didn’t use the equipment often as I have my own but definitely take advantage of the equipment rental programs on campus if you need it. Most notably the STF program in the HUB and the basement of Kane, the communication department as well as the DXART program.

 

File Management

Since you’ll be shooting events, making promo videos, and working on projects with the designers, keeping all your files organized is important. I reccomend the following workflow:

After shooting an event:

  • Import raw files to the external hard drive using lightroom, or copy video to a folder on the external hard drive
  • Upload images to a backup folder on google drive (unlimited storage!!!)
  • Edit the files while they remain on the hard drive. Lightroom and Premiere Pro will allow you to keep the images on the external hard drive while editing so you don’t clutter your computer.
  • Delete the images off the memory card once they’re backed up on google drive
  • Export finished projects to a folder on the external hard drive
  • Upload finished projects to the google drive to share with the user

Loose ends

Budget

The Multi-Media Coordinator has some room in the budget to buy new equipment. Camera equipment is generally very expensive, so keep that in mind if you’re interested in adding a lens to the bag, buying a new external flash, or working with other additional components.

Photo/film requests

Requests for services — photography or videography — are sent in through a Google Doc Excel Spreadsheet, which can be filled out here under Multi-Media: http://comm.asuw.org/

If you log in to Google Drive, you should see a template called “Multi-Media Services Requests.” This template is where requests get submitted for you to see. Just because the template is filled out in the Google Drive spreadsheet does not mean the event has been accepted, denied, or unconfirmed. You must contact the entity by their listed email in order to accept or deny attending the event. I suggest you create a color coding system to mark all of the columns in Google Drive (ex. green = completed event, yellow = pending event, red = rejected event).

You should also receive the filed requests through slack, in a channel marked “ocomm-multimediareq”

The Multi-Media Coordinator is basically a one-person unit in the Office of Communications. Although you report in weekly meeting to the Communications Director, you are in control of your own schedule and workflow. Your goals for the year basically are “shoot events, get things done.” Feel free to go out of the box to develop projects with the Communications Director if you want. Additional promotional material, such as entity headshots or promo videos, can always be helpful and appreciated in the Association.

Working with ASUW entities

The Multi-Media Coordinator position is a need-based job, meaning that the Coordinator works based around the schedules of events of the ASUW entities. Although you don’t have to attend every event that is requested, you should try to plan ahead enough so you can make these events because they are usually rewarding and fun anyways!
