RDR: Promotions Coordinator

General Information

Hello! Welcome to Rainy Dawg Radio (as an employee)! Coming out of COVID this year, the main goals are focusing on building community, more inclusivity and diversity in promotions, and establishing relationships with on and off campus communities. The big idea for promotions this year is reaching new audiences/as large an audience as possible and finding new places to promote RDR, and to provide a space to people looking for community.

Letter to successor

Hello and welcome to the RDR Staff! I’m really excited for you to be our PC. You have great ideas, are engaged in our community, and are clearly passionate about Rainy Dawg and college radio.  

Here are some notes I want to share with you:

  • Before the school year starts, we want to get ahead on events like Dawg Daze. Be ready to start tabling and postering before the first day of classes!
  • As the promotions coordinator, you need to think about how to attract non-RDR and non-ASUW people. Keep in mind the general UW population and how to find the hidden music fanatics/generally cool people that may not know of RDR.
  • Bring your ideas and opinions forward! Even if something is outside your job description, the rest of staff wants to hear what you have to say.
  • The Communications building Copy Center is great for more professional posters, BUT they are more expensive. About $1.26 per poster =( You can use the RSO Resource Center in the HUB for cheaper.
  • At the beginning of the quarter (especially the start of fall quarter) find out where people hear of RDR, like the new DJs, and utilize those spaces. It helps gauge where to dedicate time to promoting and what spaces may need help.
  • Think about the UW community mixing into the RDR community and how to get them involved and interested. Expand the community so it isn’t just RDR DJs. We want to reach their friends and their friends’ friends and their friends’ friends’ friends… 
  • Chalking in winter quarter probably won’t happen because of the rain and wet cement. Cold and rain might hinder tabling too, so plan ahead.
  • Explore your ASUWRDPC@UW.EDU Google Drive. There are tabling templates, RDR Banners, and all types of nostalgic artwork for RDR events.

Weekly To Do’s

Your schedule is likely to change a lot every week and be very flexible, so be ready to multitask and manage your time independently.

Monday/early in the week: Plan socials posts/engagement for the week (on all platforms! IG FB Twitter) and do a volunteer hours check-in and plan. Plan any promotions for the week—postering, tabling, etc. What posts am I posting this week? What events/blog posts/giveaways am I sharing this week? What volunteer hours opportunities can I put out this week? Check and send emails.

Tuesday/Wednesday/midweek: More socials updates and engagement (this is every day). Staff meeting, volunteer managing, and socializing/networking in 131 offices. Stay up to date on emails.

Thursday/Friday/end of the week: Socials engagement, volunteer hours check-ins and update GM/AM, and hanging out in the office. Stay up to date on emails before going into the weekend.

Sunday: Publish office hours!!!!!! It’s easiest if you knock out the whole quarter at once (I can show you how to do this)

Quarterly Goals

Autumn Quarter

  • We’re going to open DJ applications up for autumn quarter this year, so we’ll be getting going right out of the gate!
  • Get the good word of RDR out to all the freshmen and students you can! Table, poster, attend events/meetings, meet people in other ASUW entities.
  • Within the first week of school, get the RDR banner in the HUB (on stairs near entrance) and RDR promo on HUB digital boards (HUB is crawling at the beginning of the year!).
  • Ask how people found out about RDR! Use this info to improve and utilize these sources. (Do this asap so you actually know where people find out about RDR and where they don’t. Utilize this info to improve and broaden the spaces that RDR is found in.)
  • Start planning out volunteer opportunities and get DJs to start signing up! 
  • Create a plan for Fall quarter advertising and budget. 
  • Meet with Trevor (our advisor) if you need help with any marketing or advertising strategies. He has the big picture in mind and just the best advice always. 
  • Get to know your neighbor entities in HUB 131. 
  • Contact STG representative, Marcus, by the second week of the quarter to set up ticket giveaways. Be sure to be selective, select what will gain a lot of interest for the general UW population and RDR community, and limit to once a week for giveaways (loose suggestion).
  • Check the chalk, tape, staples, and other postering and promo supplies you may need. You might be able to borrow some from other entities. 
  • By week 5(ish) try to have half of the hours done.
  • Have 1:1 with PD/FBD/Board Liaison before ___. (They will send you a date in the onboarding process).
  • Establish relationships (visit, get them a poster) with local venues, record stores, and music publications of any sort; also UW entities

Winter Quarter

  • Find new DJs! Use your knowledge of where people come from and put all of your promotions coordinating talents into getting people to apply in the first couple weeks of the quarter.
  • Volunteer hours planning&get people registered all quarter
  • Advertising and engagement plan for Fall show
  • Look at the budget the first week or two and see where you are money wise and how to allocate it for the Winter Quarter. (keep spring quarter in mind!)
  • Submit your personnel change request by ______. (date will be provided in Fall Q)
  • End of Winter Q, start conceptualizing advertising and marketing strategies for BDay Fest. (get started on sooner rather than later)
  • Continue engaging and establishing relationships with local venues, record stores, and music publications of any sort

Spring Quarter

  • First week, start talking through an advertising plan for BDay Fest with staff and think about the budget you have and want to use.
  • Volunteer hours planning&get people registered all quarter
  • Email STG Marcus about giveaways by end of week 2
  • Utilize the relationships with local venues, record stores, and music publications of any sort to help publicize BDay Fest. Kind of the same deal as before but with the Bday poster this time.
  • Ask how people found out about RDR! Use this info to improve and utilize these sources. Put these answers maybe in your transition documents so the next person has this feedback and we can grow that list.

Loose ends

  • We have maybe $1000 for the year just for promotions. 
  • When you’re creating a plan for each quarter, think about your budget plan for the year and save the most for the Spring Quarter because Birthday Fest and Battle of the Bands/Local Talent show requires more money than anything else.
