We’ve included some helpful information from our last transition docs as well that we think can be helpful!

<b>Things to split your time with and how often to do them:</b>

<span style=”font-weight: 400;”>-Most of your events should be collaborations with JCC or other diversity entities. They will be better events, more well attended, and get at SARVA’s mission to be intersectional. All of our favorite/best events from this year were collaborations with other student entities from communities that have an engaged and interested constituency.</span>

These make a big difference and make you look so much more professional. Send out any final check-in emails if you are leaving the office and have a big event coming up. </span>

<span style=”font-weight: 400;”>- A group called </span><b>LEDA health </b><span style=”font-weight: 400;”>wants to partner with SARVA next year to supply us with plan B and STI self testing kits we can have available at our office for our constituents. You should see a letter of intent from a Hannah Chamberlin with more information about this in the </span><a href=”mailto:asuwdsa@uw.edu”><span style=”font-weight: 400;”>asuwdsa@uw.edu</span></a><span style=”font-weight: 400;”> email address, follow up with her about this during fall quarter</span>

<span style=”font-weight: 400;”>- </span><i><span style=”font-weight: 400;”>Survivor Conversation Circles </span></i>

<span style=”font-weight: 400;”>- We started this this year as a way to give all students the space to heal and grow together – this is basically a safe space that is run by a local DV shelter (DAWN) who brings in an advocate and social worker to ensure a safe and supportive environment</span>

<span style=”font-weight: 400;”>- they will create all of the content and agenda for each meeting, all you have to do is communicate with them for scheduling, advertise, and help out where you think is necessary. </span>

<span style=”font-weight: 400;”>- I would recommend also sharing this resource with professors in the GWSS and psych, lsj departments and more as they can be a great tool to sharing information with students and get a larger turn out — this is a unique and extremely valuable resource and the fact that it is free is rare – make sure people know about it!</span>

<span style=”font-weight: 400;”>- Since this circle is led by a mental health professional, reaching out to the UW Counseling Center can also share this really helpful resource to students who need it </span>

<span style=”font-weight: 400;”>- We hosted these once a week, but one every two weeks may be more optimal for consistent turn out</span>

<span style=”font-weight: 400;”>-</span><i><span style=”font-weight: 400;”>Budgeting</span></i>

<span style=”font-weight: 400;”>-You should start tracking your expenses as soon as you get into the office. Even if you spend nothing in a month, make a note of that. Since the Finance and Budget Director will send you monthly reports on your expenditures, keeping a budget spreadsheet for each item’s cost and then also a sheet of monthly summaries might be helpful. Their budget tracking is always just a little behind so you are the only one who knows the true balance of your budget if you are keeping up with it. It might make sense to include a way to track whether or not an expenditure is in the works or definitely spent already (check boxes for “expected”, “awaiting confirmation”, “spent”). I’ve included a </span><a href=”https://docs.google.com/spreadsheets/d/1fZV_GyUCjYQuqdDtXeo2p1u2V893VsUYWZpghnFluuY/edit?usp=sharing”><span style=”font-weight: 400;”>sample budgeting spreadsheet here</span></a><span style=”font-weight: 400;”> and a </span><a href=”https://docs.google.com/spreadsheets/d/19D2JyD63gX8bTc218twwbrbvriXYLhzjERUA1ozBjmM/edit?usp=sharing”><span style=”font-weight: 400;”>monthly summary sheet here</span></a><span style=”font-weight: 400;”>, but feel free to modify. I started this too late, so my spreadsheets from this year are not model spreadsheets though you are free to take a look at them. Although you have line items in your budget, you can look at everything under “Other Contractual Services” as a lump sum. Sit down with the F &amp; B Director at the beginning of the year and have them walk you through your budget and what each line item can be used for. </span>

<span style=”font-weight: 400;”>-</span><span style=”font-weight: 400;”>How often:</span><span style=”font-weight: 400;”> Add expenditures to the budgeting spreadsheet whenever they occur and create monthly summaries of spending at the end of each month- as needed and monthly. You will have additional duties in Winter quarter of advocating for the total amount in next year’s budget so it will be good to have ideas about what you are spending in total this year to help advocate for next year’s budget. Be thinking ahead about ho much money you will spend in the whole year and ways that you can use your budget so that we continue to have as many resources as possible.  </span>

<b>Key Advice:</b>

<i><span style=”font-weight: 400;”>Build your team: </span></i>

<span style=”font-weight: 400;”>Make sure to lead with understanding for people before everything else. Compensation for people’s value is important because people should not be giving of themselves and doing good work for free as it undervalues them. Build a good relationship with your Co-director, be honest with them and ask them to be honest with you about issues and capabilities, work as a team, and always lead with care. If you choose to exchange numbers, which might be a good idea for communication outside of office hours, always begin with asking if they are working right now or if you can ask them a work question. Make sure you have a standard of being honest in answering those questions. Whenever you get the chance to, ask them how they are doing and spend some time genuinely building a relationship with them that goes beyond work.</span>

<span style=”font-weight: 400;”>Your interns work for free so recognize that and hire folks who will do the job well but don’t set up demanding expectations for them. Disperse the work when you can and provide as much personal and professional development as you can. Having a good team and healthy workplace for all depends on your attitude too, so work with your Co-director as a team to make that happen. </span><a href=”https://drive.google.com/drive/folders/1_FiYcZFqfBLzXsLT4iFeU8AYu_3Akuv7?usp=sharing”><span style=”font-weight: 400;”>Here is all of our material</span></a><span style=”font-weight: 400;”> from  interns were hired in 2018-2019. In the google drive to the asuwdsa sarva account you will find more current interviewing materials. Our app was open 2 weeks and had plenty of applications for each position (3-9).</span>

<span style=”font-weight: 400;”>As I mentioned, your interns are coming to you for healing, with desires to get involved in something they care about, and for professional development. They may be the people you reach most meaningfully the entire year. Focus energy on them, their leadership and ideas, and making it a good experience for them. Maybe attend in-person trainings together! Ideas could be Harborview trainings, Health and Wellness trainings, etc. Team lunches are also great. </span>

<ul>

  <li style=”font-weight: 400;” aria-level=”1″><span style=”font-weight: 400;”>Volunteers: Volunteers are super valuable and important to the organization! Many times, they have extra reach or insights in communities, and this will serve as connections to novel opportunities! Like interns, volunteers do work for free and often out of passion for the missions of SARVA, so it’s important to recognize and appreciate them for the work that they do. To create a more cohesive team, get to know your volunteers and encourage your interns to do the same. Include them in meetings and events. Getting to build relationships with volunteers is extremely fulfilling and rewarding!</span></li>

</ul>

<i><span style=”font-weight: 400;”>Focus on Collaborations</span></i>

<span style=”font-weight: 400;”>I can’t emphasize enough that the best events you do, if you decide to do events, will be collaborations with diversity entities. Prioritize these and be respectful and humble in your approach. If you do not share an identity with a group, center their leadership and fill a supportive role by paying honorarium, getting food, or reserving the room. Meet with them often before and then do a follow up meeting after to hear what they thought of it. We know that sexual and relationship violence disproportionately impacts marginalized communities at higher rates. Your work should pay attention to that and the events you do should highlight the narratives of people who are generally left out of the discourse (white, cis, straight, able-bodied, mainstream female-identifying folks control and make up the current discourse). When you collaborate with other groups, always be asking what they would like from you and if that is not even attending the event, respect that. Step back and step up as needed. </span>

<span style=”font-weight: 400;”>This job is an opportunity to take the privilege of a budget and a platform and redistribute it. Use your budget to bolster collaborations in ASUW and also outside- hire community members from UW and off-campus to lead workshops and the like. Pick people who do not already have a platform (if possible) and give a platform to the non-mainstream narratives in conversations about sexual and relationship violence that I mentioned above (not white, cis, straight, able-bodied, female-identifying folks) whenever possible. Keep in mind that you cannot (officially) pay honorarium to UW students, faculty, and staff. We have found ways around this in the past but it was not easy and requires some finessing on your part with your SAO.  </span>

<span style=”font-weight: 400;”>Finally, do not take the work of leading and conducting workshops on yourself as you are not trained or compensated for that level of work. There are so many off-campus and on-campus groups that can do a better job than you can and have expertise in particular communities that you do not- take advantage of them and use your budget on them. Although I listed all of our contacts for events that we did, </span><a href=”https://docs.google.com/document/d/1lPG3IiEjB52x_nQ45bK4gixom4OBk9I66k5KEveRlzk/edit?usp=sharing”><span style=”font-weight: 400;”>here</span></a><span style=”font-weight: 400;”> is another list of all the groups in the area that have been brought in in the past.</span>

<i><span style=”font-weight: 400;”>Self-care</span></i><span style=”font-weight: 400;”>: </span>

<span style=”font-weight: 400;”>This work can be as challenging as it is rewarding and fulfilling. Because of the emotional demands of your work, it can be easy to bring your work home with you. This is why it is important to take care of yourself! Avoid working past your hours or chronically checking your Slack, and when things get hard, allow yourself to take a step back and give space to your emotions. It’s hard to be an effective co-director when you’re burnt out and it’s hard to recover from that point so prevention and preparation is key. Don’t feel bad about setting boundaries and prioritizing your needs when things get tough. Have a support system and check in with yourself (and each other). </span>

<b>Miscellaneous Tips: </b>

<ul>

  <li style=”font-weight: 400;” aria-level=”1″><span style=”font-weight: 400;”>While I’m not sure how the pandemic will be in the future, for some of the events during the in-person transition, it is normal to experience slow or inconsistent turnout. Be patient, and consider implementing RSVP forms to decide between hosting remotely and in-person. </span></li>

  <li style=”font-weight: 400;” aria-level=”1″><span style=”font-weight: 400;”>Similarly, consider implementing a hybrid model for the first few weeks (COVID willing). One strategy that worked well for us was to set aside a regular block of time dedicated to being in-person at the office and also working remotely on other days. </span></li>

  <li style=”font-weight: 400;” aria-level=”1″><span style=”font-weight: 400;”>When it comes to designing Powerpoints for the workshops, downloading free templates online is a very easy way to make aesthetic and easy-to-read slides with minimal effort. </span></li>

  <li style=”font-weight: 400;” aria-level=”1″><span style=”font-weight: 400;”>Establish a mode of communication that loops all of your team together! Whether that’s a Notion page, separate Slack channel, or consistent emails, it will be easier to maintain transparent and accessible communication and allow you to know what’s happening in your team.</span></li>

<b>Tips for writing YOUR transition docs:</b>

<span style=”font-weight: 400;”>-Keep a log of everything you did that year as you go! You will participate in things that don’t feel like big events and so are easily forgotten. Make a document with the details you want to enter from each event and then just fill our that template every time with notes. It will help a lot when you get to transitions. </span>

<span style=”font-weight: 400;”>-Modify or add to the documents we leave you! They are yours now so feel free to add/change anything we missed. </span>

<span style=”font-weight: 400;”>-Check in with your co-director often about things you are proud of and that you think went well and maybe keep some personal notes on what you would’ve liked to hear that we didn’t tell you.</span>

<span style=”font-weight: 400;”>-Know that every year will be different- the people in charge of SARVA, the needs of the university, the structure of ASUW and resources at UW. You can set them up for as much success as possible but you can’t predict exactly what they will need. Just give it your best shot and leave as much info about what you experienced as possible!</span>

They have stated interest in having SARVA be the main provider of these events! While Panhellenic already has a relationship with SARVA, the MGC is a valuable community that we have yet to break into. </span>

Interns and Volunteers

A message from The Office of Volunteer Opportunities from 2020-2021 and suggestions from the 2020-2021 SARVA Directors:

“OVO (drake is shaking rn)  exists to help entities recruit volunteers for the ASUW and to foster the larger volunteer community so that everyone feels welcome in the offices no matter what entity they volunteer for.

If you have questions about ASUW Volunteer Policy, want to open a volunteer application, want to select interns (and write the internship description), or send a message to all of the ASUW Volunteers, go to the Employee Portal at “employee.asuw.org”, go to the “OVO Resources” tab, and you will find Google Forms or PDFs with all of this information and more!

It is important that you use the “Request for a Volunteer Application” form for all of your volunteer applications so that OVO can check them, post them on the website, and advertise them in a timely manner! If you choose to make your own form, there is a place to indicate that and OVO will simply review it, but send those through the provided Google Form.

If you will be selecting interns there is a new process this year. It’s not complicated but check out OVO’s “How to Select an Intern” guide, also located in the employee portal.

Interns: SUPER IMPORTANT

– Have weekly intern meetings, no matter what! Set up the time and reserve the room BEFORE each quarter.

– Find meeting times weekly or biweekly to meet with anyone that was not able to attend intern meetings.

– My personal ideal meeting structure: slides to check in! Look in the Drive.

– Encourage interns to have own events, programs, etc. Allow for ideas to be spread and lots of brainstorming!

– Have individual check-ins with interns after giving out assignments, before/after events, and at the end of each quarter. e.g. check in with them all the time to ensure they’re comfortable with everything.

Volunteers:

<span style=”font-weight: 400;”>Volunteers are a great resource. They allow you to increase your programming, and generally builds a community around SARVA making it about more than just the employees. It is much better to get your volunteers early in the year. Though once you have your interns you can assess which ones you think should have volunteers and how many. Then as people being to sign up schedule volunteers for orientations (you will probably end up having to do a few) to tell them about the structure of SARVA, what we do, and what we expect from them. Then give their contact info to their Interns and they can get to work! We had the volunteers joining all throughout the year, so feel free to just leave the survey open until you feel it should be closed.</span>

– If using volunteers try to arrange a volunteer meeting before so everyone knows exactly what they need to do!

– Print off/email any and all instructions for the events volunteers are working on, in order to ensure they know <em>exactly</em> what they’re doing. Make it so clear that anyone and everyone can understand.

– Send out monthly emails to volunteers and anyone signing up for SARVA information about events coming up and ways to get involved.

– Encourage volunteers to come to you with ideas/questions/suggestions to ensure that constituents are having their voices heard.

Surveys

– Send a Google Forms survey out to constituents every quarter to assess how the quarter went. Possible questions: Did you feel that SARVA was present this quarter? Did you attend any events, how did they go? How can we improve our presence? How can we address problems you see?

– Send a Google Forms survey out to interns every quarter to assess how the quarter went. Possible questions: How can intern meetings be improved? Did you feel like your voice was heard? Did you enjoy your assignments? How could you enjoy them more?

– Send Google Forms survey out to volunteers after a large event (such as the 5k), to assess how to improve. Possible questions: Did you feel comfortable in your role? Did it seem organized?

– Try to make these surveys anonymous to ensure you’re getting accurate results and to protect privacy.
